Using the previous Dashboard? See Organizer guide: How to create and manage products in Marketplace.
You create a product in two stages: a short setup form gives it a name, category, first variant and price, then the product editor holds everything else, from inventory and sales channels to delivery, fees and stats. This page walks through both.
Before you start
- You need at least one category. See Product categories and sorting.
- Decide how you will use variants. A variant is one row on the product's Inventory tab with its own name, inventory, purchase limit, SKU, price and status. A product has a single image and a variant cannot have sub-variants, so when buyers need to see each colour, create one product per colour and use variants for sizes. When one image covers every option, variants for colours (for example Midnight and Teal) work as well.
- A new product starts with every sales channel switched off, so nobody can buy it until you turn one on in the Availability tab.
Creating a product
- Go to Build > Products and choose Create product (or click Create product on the Products page).
- Fill in the Product setup form: Product Name, Category, Variant Name (the first variant, for example "One size" or "Midnight"), Price.
- Click Create product.
A "Product saved" message appears and you land on the product's Details tab. The new product has one variant with inventory 0, purchase limit 20, no SKU, no image and no sales channels enabled, with delivery method Electronic Ticket and Allow Product Transfers on. Work through the tabs below to finish it, and set inventory before you turn on a sales channel.
Working from the product card
Each card on the Products page has four actions: Edit opens the product editor, Stats opens the product's Stats & Info tab, then Duplicate product and Copy product link (see Sharing a product).
Duplicate product asks you to confirm, then creates a copy with its own, independent inventory. The copy keeps the original's event and membership associations and sales settings, and opens on its Details tab. Duplicate product needs the Manage Marketplace permission and is not offered for archived products.
The product editor
Every product opens in an editor with a tab menu on the left. Each tab has its own Save button at the bottom right, so save before moving on. Path pattern: /manage/products/{id}/{tab}/.
- Manage: Details, Inventory, Availability, Fulfillment, Communications
- Settings: Finance, Custom fees
- Stats: Stats & Info
Details
Product Name, Category, Description (rich text with headings, bold, italic, underline, links and lists) and Product Image. The description and image are what buyers see on your organizer page. The image area reads: "We recommend using a jpg/png image at 1080x1080px that's no larger than 3MB. Drag image here, or select image below." One image per product.
Inventory
Each row is a variant. You can add as many variants as you need, and buyers choose between them from the Select Option dropdown on the product.
| Column | What it does |
|---|---|
| Order | Drag handle to reorder variants |
| Variant Name | Name shown to the buyer |
| Sold | Units sold (read only) |
| Inventory | Units available for this variant |
| Purchase Limit | Maximum per order (20 on a new product) |
| SKU | Optional stock code; searchable from the Products page Filters |
| Price (CAD) | Variant price |
| Status | Published or Archived (labelled "Variant status" in the control) |
| Actions | Variant financial settings, Delete variant |
Click Add variant for another row, then Save.
The Actions menu (three dots) on a variant opens settings that apply to that variant only:
- Variant financial settings works like the product's Finance tab, scoped to one variant. Processing Fee Settings and Showpass Fee Settings each offer Customer Pays, Absorb, or Use Product Settings, with the product default shown underneath. The page also has the variant's seller commissions for cash and credit sales, and a read-only list of the custom fees and taxes in effect for the variant. Its Manage custom fees link opens Variant custom fees, where you override a fee or tax rate for this variant. See Custom fees and taxes for how overrides work.
- Delete variant removes the row.
Delete variant is not available on every variant. To retire a variant, set its status to Archived. Archiving a variant hides it from buyers while the rest of the product stays on sale.
Availability
Controls where the product can be bought, whether it is offered as a checkout add-on, and whether the whole product is live. See Product availability and checkout add-ons.
Fulfillment
- Product Delivery Method(s): Electronic Ticket, Standard Shipping, Will Call/Pick Up. Electronic Ticket sends the product to the buyer as an electronic ticket. Standard Shipping mails the product to the buyer and reveals Shipping Cost (CAD) and Fee Method (Per item, Per item group type, Flat rate). Will Call/Pick Up means the buyer collects the product in person.
- Allow Product Transfers: lets customers transfer a purchased product to a friend, with a maximum of one transfer per product. On by default.
- Exclude PDF in Purchase Confirmation Email: leaves the product's PDF out of the confirmation email.
Communications
- Customer message, Display & Email Message: a custom message shown after a successful checkout. It is also included in confirmation emails when no custom confirmation email is configured; when a custom confirmation email is configured, this message is not sent.
- Internal notifications, Product Sale Notifications: a checkbox per employee. Each ticked employee is notified when the product sells, so staff can prepare items that need to ship or be picked up.
Finance
- Service Fee Settings: Processing Fee Settings and Showpass Fee Settings, each with Customer Pays, Absorb, or Use Organization Settings; the organization default is shown under each. Absorbed fees cannot be withheld when refunding.
- Custom fees: read-only table of effective custom fees and taxes, with a Manage custom fees link.
- Seller Commissions: Seller Commission: Cash Sales (CAD) and Seller Commission: Credit Sales (CAD), each an amount per ticket.
Settings here apply to every variant unless a variant has its own Variant financial settings.
Custom fees
Lists each custom fee or tax applying to the product with its rate card, source, amount, when it applies and who pays, with Override, Add, Rate card and Calculator controls. See Custom fees and taxes for how fees are calculated and overridden.
Stats & Info
Total Revenue, Products Sold, a Sales Over Time chart, and a Variant Revenue table (Revenue or Quantity view) listing each variant with its price, Total Sold and Revenue. Filter by Start Date and End Date. Also reachable from the Stats icon on the product card.
Sharing a product
Click Copy product link on the product card. The link opens your organizer page on the product's category tab with the product ID in the Search Products field, filtered to that product. Products do not have a standalone page, so this link is the way to send buyers straight to one product.
What customers see
- On your organizer page, the product shows its image, name and price, a Select Option dropdown with each published variant, and a Quantity dropdown.
- Archived variants are not offered.
- After checkout, the customer message from the Communications tab is displayed.
- Each product purchased as a checkout add-on has its own PDF in the confirmation email, sent along with the tickets and receipt. To leave the PDF out, turn on Exclude PDF in Purchase Confirmation Email in the Fulfillment tab.
- When transfers are allowed, the customer can transfer a purchased product to a friend once.
Limitations
- One image per product; no sub-variants. Use one product per colour and variants for sizes when each colour needs its own image.
- Products are not available on the Essential plan.
- Products do not have a standalone page; Copy product link opens a filtered organizer page.
- Recurring events with timed-entry tickets: product inventory cannot be tracked per time slot. You can attach one product to every event, but there is no way to see which time slot each sale belongs to. Create one product per time slot instead.
Troubleshooting
- Buyers cannot see the product: open the Availability tab and turn on a sales channel, then check that Product Status is Published and the variant has inventory above 0.
- A variant is missing from the Select Option dropdown: check its Variant status on the Inventory tab is Published.
- Changes did not stick: each tab saves separately; return to the tab and click Save before moving on.
