A payout is the settlement Showpass sends to your bank account for the sales in a payout period. The Payouts pages list every payout, break each one down from gross sales to the amount settled, set how payouts are grouped, and hold the banking details payouts are paid to. Use them to reconcile what reached your bank account against what you sold, and to keep your deposit details current.
Before you start
- You need the Manage Financials permission (Organization > Permissions). The default All Access and Owners roles have it.
- Payouts are deposited to the bank account saved and authorized under Payment info.
- Early payouts, changes to how a past period was grouped, deletions and backup payout frequency are set by Showpass. Ask Showpass support and include the Payout ID where one exists.
Where to find payouts
In the Dashboard sidebar, open Finance. The Payouts group holds three pages: Payouts, Settings and Payment info.
Direct path: /manage/finance/payouts/ on your Dashboard domain.
How payouts are generated
Showpass generates payouts for each payout period from the sales that are eligible in that period. Your Report Breakdown setting decides whether those sales arrive as one combined payout or as one payout per event (see Settings below). Once a payout is sent, funds generally take 3 to 5 business days to reach your account.
Product payouts
Products are not tied to an event, so their payouts follow the rest of your sales:
- While you have an event on sale, product sales are paid out on the same schedule as your event payouts and appear as a separate payout in the list.
- When you have no event on sale but customers can still buy products, product payouts run on your organization's backup payout frequency: Event Based, Weekly, Monthly or Yearly. Showpass sets this frequency; ask Showpass support to check or change it.
Early payouts
Showpass support can generate a payout early when your organization has a single event and no other events on sale. If other events are still selling, support settles the early amount with a custom settlement item instead.
Payouts list
Each row shows the payout Status, Date, Payout ID and Payout Total in your organization's currency. Status is Paid once Showpass has sent the payout and Unpaid until then. Click View Detail to open the breakdown.
Payout details
The top card repeats the Payout Total, Status, full Payout ID and Date Created. Keep the Payout ID handy for any question to Showpass support.
The Payout Summary below it walks from gross sales to the amount settled. Click a row to expand it; the info icons beside each line explain it.
| Row | What it holds |
|---|---|
| Gross Sales | Sales before discounts and refunds, with the count and value of tickets sold beneath |
| Net Sales | Gross sales less discounts and refunds, with Service Fees beneath: Showpass Fees plus Processing Fees, the charges from credit card processing |
| Gross Revenue | Net sales less Showpass fees and seller commissions, with Total Organizer Taxes by tax name and Shipping Costs beneath |
| Net Revenue | Gross revenue less all fees and taxes, with the Total Taxes and Shipping Costs collected by Showpass and your past Settlements beneath |
| Settlement Amount | The remaining total to settle on this payout |
The Settlements line under Net Revenue holds past settlement totals already paid against these sales, which is why the Settlement Amount can be lower than Net Revenue.
Payout terms
Payout details and the financial reports share the same terms. Use this list when a line on a payout or report needs explaining.
| Term | Meaning |
|---|---|
| Face Value | The face value of the ticket type |
| Gross Sales | The total sales value for all transactions in a period before discounts, refunds and service fees are removed |
| Refunds | Total value of refunds issued |
| Discounts | Total value of discounts applied |
| Net Sales | What the customer paid: Gross Sales less Refunds and Discounts |
| Service Fees | The amount Showpass takes from an order for Showpass, processing and discovery fees |
| Showpass Fees | Fees that cover administrative and service costs |
| Processing Fees | Credit card processing fees |
| Account Credits Applied | Exchange or account credits applied to orders |
| Account Credit Refunds | Refunds issued to the customer's account credits instead of back to their card |
| Exchanged Out | Total value of tickets exchanged out of one event into another |
| Gross Revenue | Net sales less Showpass fees and seller commissions, as the payout screen describes it. The Financial Glossary puts it as the value left after service fees, account credits and exchanges are accounted for. |
| Taxes | Total custom taxes you charged customers |
| Organizer Fees | Total custom organizer fees charged to customers |
| Card Organizer Fees | The part of Organizer Fees charged by credit card |
| Net Revenue | Gross Revenue less Taxes and Organizer Fees |
| Adjustments | Changes such as cash or other payment type sales, advances and custom external gateways, which can leave a positive or negative balance |
| Settlement Amount | The amount deposited or paid out to you by Showpass |
Settings
Report Breakdown sets how future payouts are grouped. There is no Save button: your choice is saved as soon as you select an option.
- Combined generates one payout that brings together every sale eligible for the period. It is the recommended choice for timeslot style events.
- Individual generates one payout for each eligible event in the period. It is not recommended for timeslot style events.
Changing the setting affects future payouts only. Payouts already generated keep their grouping; to regroup a past period, contact Showpass support with the Payout IDs.
Payment info
Payment details and authorization is where you enter the Institution Number, Transit Number and Account Number for the account payouts are paid into. Open Can't find your banking info? for a cheque diagram showing where each number sits; the same details are available through online banking. Only your organization can enter or change these details; Showpass support cannot update them on your behalf.
Below the fields are the pre-authorized debit (PAD) terms. In summary:
- Debits and credits to the account run weekly, based on the obligations in the Terms of Service and any superseding agreement.
- Showpass may debit the account immediately for organizer-requested refunds, disputed charges, customer complaints or allegations of fraud.
- Showpass relies on the banking details as entered. If a credit or debit is rejected, Showpass may try it again, and inaccurate details leave the organization responsible for resulting losses or expenses.
- You can revoke the authorization with 10 business days' notice before the next scheduled transaction by emailing clients@showpass.com. Recourse rights for debits that do not follow the agreement are explained by your financial institution or at payments.ca.
To authorize:
- Enter the three banking numbers.
- Tick I certify that I have authority to bind the organization.
- Tick I authorize Showpass to credit and debit my bank account.
- Type your name as the Signature and click Agree and Save.
Refunds, chargebacks and credits after a payout
Orders can still change after their payout has been sent. The pre-authorized debit agreement under Payment info covers how Showpass settles those changes.
- Refunds and chargebacks: when you refund an order or a customer disputes a charge after its payout, Showpass may debit the authorized bank account for the amount.
- Refunds to organizer credit: a refund issued as organizer credit returns no money to the customer's card. It shows on Transactions as Account Credit Refund and in payout reporting under Account Credit Refunds. When the customer spends the credit with your organization, the order shows under Account Credits Applied.
- Credits created outside online payments: when credits come from cash or another payment type, Showpass support can add a custom settlement item for their total so the settlement balances.
Limitations
- Report Breakdown applies to future payouts only.
- An early payout is only possible when the organization has a single event and nothing else on sale.
- Early payouts, payout deletions, regrouping a past period and the backup payout frequency are handled by Showpass support, not from the Dashboard.
- Organizer credits can only be spent with the organization that issued them.
Troubleshooting
| Symptom | What to do |
|---|---|
| A payout has been sent but the money is not in the bank | Allow 3 to 5 business days. If it still has not arrived, contact Showpass support with the Payout ID. |
| Each event arrives as its own payout, or several events arrive as one | Check Report Breakdown under Settings. A change applies from the next payout onward. |
| Product sales are missing from an event payout | Product sales are paid out as a separate payout. Look for it in the list for the same period. |
| Product payouts arrive on a different schedule from event payouts | With no event on sale, products follow the backup payout frequency. Ask Showpass support what it is set to. |
| Settlement Amount is lower than Net Revenue | Expand Net Revenue. Settlements shows totals already paid against these sales. |
| An unexpected debit from Showpass appears on the bank account | Look for refunds or disputed charges on orders that were already paid out, then contact Showpass support with the date and amount. |
