Actions within an order

Open the actions menu with the three dots in the top right corner of the transaction, or expand the transaction to work with individual tickets.

The actions menu contains Resend confirmation email, Begin exchange, Download receipt, Modify name on tickets, Refund, and Void. Refunds and voids are covered in a separate article.

 

Checking guests in

You can check guests in without leaving the order. This is useful at the gate when someone cannot find their ticket, or when you need to correct a scan. Membership check-ins are the exception and still use the dedicated check-in page.

  1. Find the transaction and expand it.
  2. On the Breakdown tab, select the tickets you want to check in. Use the checkbox in the table header to select everything on the order.
  3. Select Check in all items.

The action buttons stay disabled until you select at least one item. Once items are selected the buttons read Download all items, Check in all items, and Undo check-in.

Undoing a scan. Select the tickets you want to reverse and choose Undo check-in. The ticket returns to its previous status and can be scanned again.

Downloading tickets. Select the tickets you need and choose Download all items. Use this when a guest wants a copy at the gate rather than a resent email.

Resending confirmation emails and tickets

  1. Find the transaction.
  2. Select the three dots in the top right corner of the transaction.
  3. Select Resend confirmation email.
  4. The Resend email window opens with the buyer's email address filled in. Check that it is the right address, or type a different one.
  5. Select Send.

 

The guest receives a fresh copy of their confirmation and tickets at the address you entered.

The same actions menu has Download receipt if the guest needs a receipt rather than their tickets.

Resending a ticket that was shipped or handed out

If a ticket was originally fulfilled physically rather than sent electronically, you can unfulfill it and resend the QR code from the transaction.

Exchanging items

Exchanges happen directly on the order, one item at a time, rather than across the whole transaction.

How it works. Showpass issues a temporary Exchange Credit to the account. That credit buys new tickets of equal or greater value for events organized by your organization. A few rules apply:

  • Exchange credits expire within the hour if suitable tickets are not found. The original tickets stay valid until the credit is used.
  • Once the credit has been used, the original tickets listed in the exchange are no longer accessible.
  • Exchanges are not permitted for orders of lesser value than the original purchase.
  • Donations are non-refundable and cannot be exchanged.

Each order has an exchange deadline, shown in the first step of the exchange window.

Starting an exchange

  1. Find the transaction.
  2. Select the three dots in the top right corner of the transaction.
  3. Select Begin exchange.
  4. Read the exchange terms, including the date the order is exchangeable until, then select Continue.
  5. Select the specific tickets to exchange. Each ticket is listed with its ticket type, barcode, and price. Use Select all to exchange everything on the order.
  6. Select Continue.

You will see two entries for one exchange

A completed exchange creates two transactions on your Transactions page:

  • An Exchange adjustment, showing the value removed as a negative gross revenue
  • A Sale tagged Exchange Credit, showing the new purchase with a Credit applied amount
  1. Find the transaction.
  2. Select the three dots in the top right corner of the transaction.
  3. Select Modify name on tickets.

Renaming everything at once. Stay on the Bulk tab, enter the new name under Set new name, and select Update. It applies to all tickets in the transaction.

Renaming tickets individually. Select the Individual tab. Tickets are grouped by ticket type, showing the quantity and the name they are currently grouped under. Change the name in the Tickets grouped under field, or select See ticket details to set a name against each barcode. Select Update.
