Organizer guide: Quick guide to season renewals

Running renewals for the new season? Here’s what you need to do — and when. For full details on every setting, see Setting up season pass renewals.


The renewal flow at a glance

  1. Add a new season to your existing membership group.
  2. Re-add the issue tickets benefit for the new season — before any sales or renewals.
  3. Activate renewals. Members get notified and can renew or decline.
  4. Renewal deadline passes. Unrenewed seats are released to the public.

Three things you need to do

1. Add the new season

You never need to build a new membership from scratch. Just add a new season to your existing group.

  • Go to your membership group → Edit.
  • Scroll to Seasons and click Add new season.
  • Set the season name, start and end dates, and the renewal deadline — the date by which existing members must renew to keep their seats.
  • Click Save.

⚠️ Set the renewal deadline before the new season sale start date so existing members get the first window to secure their seats.

2. Re-add the issue tickets benefit

The issue tickets benefit needs to be added for each new season — it’s what links renewing and new members to their seats in the upcoming season’s ticket batches.

  • In the membership group, click Add benefit.
  • Select Issue tickets → Assigned seating → your arena’s seating map.
  • Confirm seat assignments for each level and click Save.

⚠️ This must be done before any renewals or new-season purchases are completed. Do this step first.

3. Activate renewals

  • From the membership group page, toggle Season renewals to Active.
  • Members receive an email notification with a link to renew.
  • Automatic reminder emails go out at 1 month, 2 weeks, 1 week, and 1 day before the renewal deadline.
  • Members renew (or decline) from their Showpass dashboard — no manual processing needed.
  • After the deadline, all unrenewed seats are automatically released to the public.

What members can do

  • Renew at the same level — keeps their exact seats and tier.
  • 🔄 Upgrade or downgrade — changes their tier if other levels are available.
  • Decline — seats are released at the deadline.
