Organizer guide: How to create, schedule, and manage reports in Showpass

Showpass offers robust reporting tools that let you generate downloadable reports on transactions, sales, customers, inventory, and more. You can generate reports instantly or schedule them to be emailed on a recurring basis.

Step 1: Access the Reports section

  • From your dashboard pop-out menu, select Reports.

  • Click Create Report in the top-right corner.

Step 2: Set up your report

  • Report Name: Enter a descriptive name for internal use.
  • Report Type: Choose the desired report from the dropdown list (see descriptions below).

  • Format: The report will generate as a CSV, PDF, or Excel file depending on the report type.

  • Event Scope: Choose all events, recurring events, or select specific events.

Step 3: Customize report content

  • Click Select Columns to choose which fields to include. Each report has a unique set of columns.

  • Uncheck any columns you don’t need for cleaner formatting.

  • Select a date range using presets or a custom selection.

Step 4: Set delivery and scheduling options

  • To email the report, click Email Report and enter one or more email addresses.

  • You can schedule the report for recurring delivery by choosing a frequency (daily, weekly, monthly) and time of day.

  • To remove an email recipient, click the “X” next to the address.

Step 5: Save and manage reports

  • Choose Save to save the report template or Save + Generate Report to run it immediately.
  • Saved reports appear on the main Reports page with options to:
    • Edit
    • Clone
    • Download
    • Delete

Report types and their uses

Sales & Financial Reports

  • Transactions Report: High-level overview of all organizational transactions.
  • Itemized Sales Report: Most detailed sales report, highly customizable.
  • Settlement Report: Breakdown of payouts included in invoices.
  • Payment Type Breakdown: View payments by method and optionally group by event.
  • Event Financial Summary: High-level revenue summary per event or occurrence.
  • Ticket Type Financial Summary: Revenue by individual ticket types.

Ticketing & Access Reports

  • Will Call Report: Lists attendees and their non-financial ticket details.
  • Ticket Sales History: Graph and data on ticket quantity and revenue over time.
  • Ticket Type Summary: Basic summary of selected ticket types.
  • Ticket Scan History: Tracks how many times each ticket has been scanned.
  • Employee Scan History: Tracks how many tickets each employee scanned.

People & Performance Reports

  • Customers and Employees Report: Purchase history, marketing opt-ins, and more.
  • Employee Sales History: Shows sales activity by employee and time slot.
  • Seller Stats: Breakdown of sales by individual sellers.

Discount & Hold Reports

  • Discount Creation Report: Overview of discount codes and credits.
  • Discount Usage Stats: Stats on usage of discount codes and credits.
  • Password Used Summary: Shows how password-protected ticket types are performing.
  • Hold Stats Report: Usage and performance of ticket holds.

Membership & Inventory Reports

  • Member Report: View all current members by group and level.
  • Member History Report: Historical data for both active and past members.
  • Membership Benefit Usage Report: Tracks usage of membership benefits.
  • Event/Product Inventory Report: Inventory tracking for products sold alongside events.

Event Reports

  • Event Summary Report: Overview of selected events (sales, attendance, etc.).
  • Event Audit Report: General summary, commonly used by vendors and talent.

Tips & Best Practices

  • Use Itemized Sales for the most detailed insight across events.
  • Generate recurring reports to automate financial or fulfillment processes.
  • Choose Excel format if working with formulas or large data sets.

FAQs

What format should I choose?
Use CSV for raw data, PDF for easy viewing/sharing, and Excel for advanced formatting.

Can I edit reports later?
Yes. You can edit or clone any saved report from the Reports dashboard.

Can I email the report to multiple people?
Yes. Add multiple emails when setting up the delivery schedule.

Why are some columns not showing in my report?
You must manually select the columns during setup. Each report type has unique available fields.
