Organizer guide: How to scan membership passes at events

This guide explains how to check in ticket buyers using memberships at your events, the different scanning methods available, and what to expect when validating access using Showpass tools.

Overview

Memberships can be scanned using the Showpass mobile app with compatible smartphones or Zebra scanners.

Tip: Members can be checked in using QR codes, barcodes, or by search—depending on how their access is configured.

Selecting memberships for scanning

  • Launch the Check-In flow from your mobile device or scanner.
  • Select the Memberships tab to begin.

  • Choose the membership level(s) you want to allow access for.
  • Tap Start Scanning.

How to check in members

Once scanning begins, you can check members in using one of the following methods:

  • 🔍 Search by name, email, or barcode: Use the search bar to find the member and confirm their access manually.

  • 📱 Scan the Universal QR Code: Use the Universal QR screen to scan a member’s digital pass. This will display all valid access tied to the membership level(s) selected.

  • 🏷️ Scan the membership barcode: This will trigger an instant check-in if only one access is available. If multiple scan options exist, you’ll be prompted to choose one.

Important: The Universal QR screen will only appear if both events and memberships were selected during setup.

Understanding scan results

✅ Successful scan:

  • The member is checked in instantly
  • A success message will appear confirming access

❌ Scan error:

If the scan fails, an error message will be shown. Try the following steps:

  • Ensure the membership is valid and not expired
  • Re-check the spelling or code during search
  • Hold the device farther back from the QR or barcode for better focus
