Organizer guide: Setting up suborganizations for parent-child account structure

Showpass allows parent organizations to create and manage suborganizations. This setup is ideal for larger operations—such as venue groups, franchises, or national promoters—that need to share banking details and fee structures while maintaining independent event listings for each division or team.

In this article, you will learn how to:

  • Request access to suborganization functionality
  • Submit a new suborganization registration form
  • Understand the approval process and outcomes

Requesting suborganization functionality

This feature must be enabled for your account. To request access, please submit a request using this form. Once enabled, you will be able to add suborganizations from your Organization Info page.

How to register a suborganization

Once your account is enabled:

  • Go to the Organization Info section in your Showpass dashboard.
  • Click Add Sub-organization.

  • Fill out the required form fields, including:
    • Organization name
    • Internal organization code: This must be unique and is used for internal tracking.
    • Confirmation email(s): Include the email addresses of staff who should receive the approval request. You may list multiple recipients.

Approval and activation process

  • Once submitted, a confirmation email will be sent to the addresses listed.
  • Only after the suborganization is approved via the confirmation email will the account be activated.
  • The person who submitted the request will receive an email confirming whether the request was approved or denied.

What happens when a suborganization is approved?

  • A new organization is created and linked to the parent account.
  • The suborganization will inherit the parent’s banking details and fee structure.
  • The new organization can immediately begin creating and managing its own events within Showpass.

Note: A suborganization cannot be used until it has been approved via the confirmation email. If the request is denied, the submitter will receive an email with that information.
