Ticket Auto Release

Overview

This feature allows you to automatically release ticket types based on the inventory levels of preceding ticket types. Some use cases would include:

  • Pre-sale and General Sale Setups: Release general sale tickets once a certain number of pre-sale tickets have sold.
  • Tiered Pricing Models: Implement price increases automatically as tickets sell out, rewarding early buyers while encouraging quick sales.
  • VIP and Regular Access: Automatically transition from VIP tickets to regular access once VIP inventory runs low.
  • Differentiated Ticket Quantities: Manage varying ticket quantities by setting thresholds for when to release additional ticket types.
  • Event Capacity Management: Control ticket sales dynamically based on real-time inventory, helping prevent overselling.

 

How-to Guide:

  1. Create Your Event: Start by setting up your event and adding the various ticket types. Save your progress, as Tiered Ticket Auto Release cannot be enabled until the event and ticket types are saved.

  2. Edit Your Event: Navigate back to the edit event page and scroll down to the Ticket Types section.

  3. Edit Ticket Types: Click the cog icon next to the first ticket type you want to configure.
    • For Tiered Auto Release, start with the earliest ticket type in your sales sequence and proceed through each subsequent ticket type. This allows you to set up the automatic release based on inventory levels as tickets sell.

  4. Enable Tiered Auto Release: In the advanced ticket type settings, configure the auto release tab and click ‘add’. Refer to the example below for further details.

  5. Edit all applicable ticket types, save your ticket type settings and event! Voilà!

 

Example

Your upcoming event has ticket offering is as follows:

  • 100 Pre-Sale Tickets
  • 150 Advance Purchase Tickets
  • 300 General Sale Tickets

When each tier has only 10 tickets remaining in inventory, the organizer would like the next set of tickets to be released to the public for sale.

Best Practices for Ticket Release Inventory: The optimal number of tickets is ultimately up to you! However, it's a good idea to leave some wiggle room in your inventory to account for any tickets that ticket buyers may have in their carts, as this can affect overall availability.

Please note: The ticket type(s) you want to release later (once the threshold has been crossed) need to be set to 'Visible to Sellers only' or 'Hidden'. Once the threshold is reached, the next tier ('Visible to Sellers only' or 'Hidden') will automatically switch to ‘Public’.

If all ticket types are ‘Public’ they will all be available for sale to the public, no matter the tiered auto release settings.

In this scenario, the ticket types will appear as follows:

  1. Click on the gear icon beside the ticket type that will be going on sale first (Pre-Sale Tickets). This will open up the advanced ticket type settings. Again, make sure visibility is set to 'Public.'

  2. In the pop-up modal, select the ‘Auto Release’ tab.

  3. Add the number of tickets remaining in inventory that will trigger the next tier in the ‘Release Limit’ field.

  4. In the ‘Ticket to release’ dropdown, select the next tier of tickets.

  5. Select ‘Add’ to save the Auto Release settings. A confirmation pop-up will appear in the corner confirming the changes.

  6. Click on ‘Next’ to save the advanced ticket type settings.

  7. Repeat steps 1-6 for the remaining ticket tiers. For Advance Sale Tickets, set the auto release inventory to 10 and the next ticket to release to ‘General Sale.’

  8. Ensure you’ve saved all the ticket type settings, and continue on to save your event!
